Have you seen the new peachtree software? WoW. They have really added alot of new features. I have included some of the new FAQ about their software for 2010

More Business Check colors

classic-greenFor the CPA’s that has alot of accounts for one business, that uses the same check colors can be confusing. It can be confusing because same color may represent the same account. Having alot of color options will make it a lot easier for the accountant to do the job right the first time. Its hard to find a company that offers more than 4 colors of checks, like the banks for example.

I have found a website that offers over 15 colors of business checks, that is compatible for peachtree and quickbooks. Some are classic colors, marble, wave or lattice. The blue, green and burgundy is the most common color to use. Having a color for every account will make it easy for everyone.

Check WritingHave you opened up a new checking account? What starting check number did you start off with? If you answered yes a new checking account, or an existing acct, heres some information you need to know about. When you select a check # to use, you can only go forward with it. Example. If you started with check # 501, and you have reached to 3000, and you wanted to start off again with a low check #, you get back to 501, the bank will reject the check.

The bank will reject the check because its already been used once. When a customer orders from you, its always a good idea to make sure they havent ordered from you before and want to start with a low number. So….they can only go foward with the check number, OR if they want to go back to a low check number, to open a new acct and start over again. Its the rull for all banks and for alot of other reasons. This is for business checks and personal accounts as well. No exceptions.

Going to the bank unprepared can be a waste of time, particularly if you’re running a store and you can’t afford to spend time filling out paperwork followed by a long wait, it’s a good idea to keep deposit slips on hand.

By keeping deposit slips at home or in the office, you can fill out everything ahead of time and head straight for the line instead of having to fumble around with paperwork.

Business plan for bad weather

Do you have a business plan in case of bad weather? Does your business mainly run off of computers? Do you have your business data stored there? Having a business plan for everything is always a smart idea to have. Its ok to have your data stored on the computer, but its also recommended to have your customers data, and your business data (email, documents and etc….) to be stored off site. What if lightning hits your office, and you loose everything. By having a data back up, you’ll be able to get your data back with in hrs, instead of loosing it all.

How fast can i get a replacments for my business checks if fire hits? If you have dealt with a company that printed your previous order before, ask them if they can ship your new order out the same day. That will help to make sure everyone gets paid, and your vendors as well. Having a weather back up is always a smart idea. IF you loose power…use a generator, or battery backup. Most important is to have business insurance to cover your business (building, inventory, lost wages, and etc….)

Memorial Day was originally known as Decoration Day because it was a time set aside to honor the nation’s Civil War dead by decorating their graves. It was first widely observed on May 30, 1868, to commemorate the sacrifices of Civil War soldiers, by proclamation of General John A. Logan of the Grand Army of the Republic, an organization of former sailors and soldiers. On May 5, 1868, Logan declared in General Order No. 11 that:

The 30th of May, 1868, is designated for the purpose of strewing with flowers, or otherwise decorating the graves of comrades who died in defense of their country during the late rebellion, and whose bodies now lie in almost every city, village, and hamlet churchyard in the land. In this observance no form of ceremony is prescribed, but posts and comrades will in their own way arrange such fitting services and testimonials of respect as circumstances may permit.

In 1966, the federal government, under the direction of President Lyndon Johnson, declared Waterloo, N.Y., the official birthplace of Memorial Day. They chose Waterloo—which had first celebrated the day on May 5, 1866—because the town had made Memorial Day an annual, community-wide event during which businesses closed and residents decorated the graves of soldiers with flowers and flags.

By the late 1800s, many communities across the country had begun to celebrate Memorial Day and, after World War I, observances also began to honor those who had died in all of America’s wars. In 1971, Congress declared Memorial Day a national holiday to be celebrated the last Monday in May. (Veterans Day, a day set aside to honor all veterans, living and dead, is celebrated each year on November 11.) Alot of business will be closed, or close early. No banks will be open and no regular USPS mail. Some check printing companies may offer American Flags for business checks.

Having a business is great and can be fun. You already have your business checks and accounting software, but do you have envelopes for your business checks? Theirs different types of envelopes you can select from. Some have the security liner already inside, or plain envelope.

Having security is very important when running a business. If you have a firewall, anti-virus, why not have security when mailing your business checks with the security liner in the envelope. The envelopes are available with double window, single window or plain envelopes. You can even have them imprinted for you. The business checks envelopes are available with the gummed, or self seal type.

I was talking about starting a business with accounting software in the last blog. In this one, you need to find out what kind of business checks do you need to use. Peachtree uses checks in the middle. You have 4 different types of styles. Best way to see which style you need is to print some blank checks on plain paper

Quickbooks, uses 3 types of checks. Most popular is the check on top. The other is full page of checks (3 checks to a page). The final type is Personal wallet laser checks. Its the same size as your personal checks, but its 3 to a page, with a stub on the left side of the check. You can always get a trial copy of the accounting program to see if it fits your needs.
